General Terms & Conditions

  • “Dramatica” refers to Dramatica Ltd
  • Dramatica reserves the right to amend or modify these Terms and Conditions without notice
  • Discounts are applied at the discretion of the Managing Director
  • Dramatica reserves the right to keep the deposit if a booking is cancelled by the client at any time
  • Children are accepted as being “in good health.”  It is the responsibility of the parent/carer/authorised adult to inform us of any medical condition, allergy or otherwise prior to the session.  This should be in writing wherever possible
  • Dramatica does not accept responsibility of any loss or damage to property taken into a Dramatica session
  • Ruth Hunt as the Managing and Artistic Director of Dramatica is insured by Equity  Insurance and all freelance staff are insured by “Showtime Insurance”
  • By registering your child for a class or Theatre Course,  you agree to allow Dramatica to use photographs on its Website and Social Media pages.  We will never publish names alongside photographs.  If this is unacceptable, it is the responsibility of the parent/guardian to inform us that no photographs of their child must be published.

Weekly Workshops (Including After School Clubs)

  • Full payment for workshops needs to be received either in advance or at the beginning of the workshop
  • For all LAMDA Classes, commitment is the academic year.  If you withdraw your child at any point during the year, you may forfeit the full year’s lesson fees including the exam fee.
  • Dramatica reserves the right to ask for full payment if a booking is cancelled within 72 hours or 24 hours for a workshop or party.  For all After School Clubs, payment is due in advance in full unless pre-agreed with the Artistic Director.   Dramatica staff will not accept cash or cheques during the session and are not at liberty to discuss money issues.  All payment is to made online via the methods emailed to you
  • Refunds are only provided at he discretion of the Artistic Director and in extenuating circumstances.  We cannot provide refunds for one-off or odd sessions missed due to illness or any other reason, unless officially approved by the Artistic Director.   It is our policy that once payment has been made, a refund will not be given except for the reasons stated above
  • Children need to be wearing suitable clothes and footwear for all activities
  • It is the responsibility of the parent/carer/authorised adult to inform us of any amendment to home address or contact details

Cooking Kids Sessions

  • Dramatica will provide all ingredients but it is parents’ responsibility to inform us of any allergies or dietary requirements in advance.  If this is not done, we cannot guarantee that the ingredients will be safe for your child
  • Dramatica staff will ensure that food is correctly prepared up to the time of leaving the class.  It is then the parents’ responsibility to ensure that food is cooked/heated/stored correctly
  • Depending on time and facilities of the venue, food may not be cooked (heat application) during the session and will need to be cooked at home.  Where possible, we will endeavour to give children recipe sheets with all cooking instructions and the Chef will verbally explain to parents what needs to be done at the end of the session
  • Children must bring an appropriate container to take their food home in after the session.   If this is not provided, there may be instances where the child cannot take their food home
  • Due to safeguarding, children are expected to behave and understand the importance of being focused during the sessions.  If children are not able to maintain this level of concentration and behaviour, we may recommend that parents remove their child from the sessions. If this is the case any refunds are at the Management’s discretion and are not automatically granted.  

   Holiday Courses

  • Full payment for Performance Holiday Courses needs to be received in advance with the booking form
  • Dramatica reserves the right to ask for full payment if a booking is cancelled within 72 hours.  In extenuating circumstances, the reason for the cancellation will be taken into account and a full or partial refund will be awarded at the Director’s discretion
  • Children need to be wearing suitable clothes and footwear for all activities
  • It is the responsibility of the parent/carer/authorised adult to inform us of any amendment to home address or contact details
  • The mixture of ages and ratio of boys to girls cannot be guaranteed.  Dramatica will endeavour to notify parents in advance if the child is the only one of a specific age range, however should the parent wish to cancel on this basis, a 50% fee will be incurred if within the 72 hour stipulation as above
  • During Holiday Theatre Courses and one day Extravaganza Bonanzas, Dramatica will use basic medical first aid, i.e hypoallergenic plasters, saline solution and cold compresses if absolutely necessary i.e negligence would arise unless this was administered, unless specifically asked not to on a booking form or in person. NO ORAL MEDICATION WILL EVER BE GIVEN UNDER ANY CIRCUMSTANCES UNLESS A WRITTEN AND SIGNED REQUEST IS SUBMITTED.  THIS ALSO APPLIES TO AUTO-INJECTOR PENS
  • Holiday Courses held in a theatre venue are often dependent on the number of participants.  If it is reasonable to assume that you have confirmed a space for your child after you have booked, either verbally, by text or email, you may be charged the full amount if you decide to withdraw from the course.

   Parties

  • Full payment for parties needs to be received on or within the time as quoted on the Confirmation Form or Dramatica will seek to recover this money by legal action including added expenses incurred
  • Dramatica reserves the right to ask for full payment if a booking is cancelled within  48 hours
  • Parties are booked subject to a suitable venue, no more than 35 children per group and a supervising adult being present at all times.  If the number of children is expected to exceed this limit, an additional member of Dramatica must be booked.  In the absence of an additional staff member and more than 35 children being present, the party leader reserves the right not to continue with the party and the client shall forfeit 100% of the party fee
  •  The party leader reserves the right not to lead the party if there are specific health and safety concerns.  These include, (but are not limited to) the following being in the party space: exposed electrical wires, uncovered building materials, wet flooring, inadequate space.  Should this be the case, any compensation shall be at the discretion of the Managing Director
  • Dramatica prizes do not include foodstuffs, but may include small objects, not suitable for children under 3 years of age
  • Should Ruth Summers or the employed member of staff be unable to make the booking due to sickness or emergency, an alternative employee will be sought.  If this is not possible, Dramatica will refund all deposits and monies paid
  • Parents are strongly advised not to be in the same room as the party as this distracts the children.  If this is unavoidable, due to very young children or other reasons, Dramatica requires parents and carers to be quiet so as the children can take part fully in the activities.  This only applies to Magical Adventure parties
  • If there are many parents present, the Dramatica party leader will distribute small notices to parents explaining the above and requesting that they are quiet and that they join in with their children if the children wish to be with their parent
  • If loose balloons are present in the party space, the party leader will endeavour to put them aside until after the Dramatica element of the party as these provide a distraction
  • The party leader shall aim to arrive at the venue between 30 and 20 minutes before the start of the appointed time.  They will contact you as soon as they are able if this is likely to be affected by traffic or other external factor beyond their control
  • Dramatica reserves the right to charge an additional levy of £20 each way for parties which are further than 40 miles from TW19 5DE.  This levy is advertised on the website and is made clear at the time of booking
  • Party Package discounts are applied at the discretion of the Managing Director.  This discount may be based upon the number and quantity of additional options purchased.  Dramatica reserves the right not to refund any unused or unwanted items once the confirmation form has been sent/emailed
  • Party food costs are calculated as stated on the Dramatica website.  As food is perishable, absolutely no refund will be given if the expected number of children do not attend the party and there is a surplus of food
  • All party food has been refrigerated, stored and prepared at the correct temperatures. If not refrigerated/stored after initial serving no responsibility/liability can be taken for contamination.  To avoid contamination and risk of infection please store food correctly. Dramatica would advise discarding any leftover food after the event
  • The time of the booking is as detailed on the Confirmation Form.  The party leader’s time starts from this time and they are not expected to stay beyond the booking time, regardless of whether the party starts on time or not.  It is assumed that the party leader has arrived in good time and is ready to start at the agreed time stated on the booking form.  If this is not the case, the matter must be raised with the Managing Artistic Director at the earliest convenience

  • Sessions led by Dramatica Ltd will take place via Skype, WhatsApp or Zoom. Parents must provide a valid email address and telephone number so that Dramatica can make contact.
  • For group sessions, Dramatica will use Zoom. These sessions will be ID and Password Protected. These details must not be published online or shared with anyone other than the person to whom it is intended.
  • All Zoom participants will be placed in a virtual waiting room before the session, for enhanced security. This means that only authorised users will be admitted into the session.
  • The sessions will not be recorded unless Dramatica has explicitly made an exception. For example, the film course will require elements to be recorded.
  • For Online Film Projects, there may be staged scenes that we will record on the Zoom video platform. The students will be told when we are filming. Nothing else will be filmed. Recordings may be used in the final edit of the film. The full video will only be made available on a private platform.
  • In signing up for the Online Film Projects, you are allowing your child to make videos and upload them to Dramatica. Dramatica reserves the right to use footage of the children for promotional purposes. Full names or personal details will never be published.

Regular teaching sessions will not be recorded. This covers Group Drama, Private LAMDA and Private Piano sessions.

  • Sessions must take place on a secure WIFI network.
  • Children must be appropriately dressed for the session. (No nightwear unless used as a “costume.”)
  • A parent or guardian must be in the vicinity for the duration of the session. The parent or guardian does not need to have an input into the session.
  • For one to one sessions, it may be necessary for the Dramatica teacher to speak to the parent or guardian at the end of the session.
  • Parents will acknowledge that this is a temporary way of working and that once society returns to normal these sessions may not continue.
